1. Introduction
1.1 Purpose of these Terms
These Terms and Conditions govern the provision of services by Child Mental Health Clinic Ltd (“CMHC”, “the Clinic”, “we”, “our” or “us”) and form the agreement between CMHC and the child or young person receiving care, together with their parent, legal guardian or other person arranging or funding that care.
Our aim is to provide high-quality, evidence-based assessment and treatment within a transparent and collaborative framework. These Terms explain how our service operates, the responsibilities of both CMHC and families, and the basis upon which clinical and administrative services are provided.
1.2 Application of these Terms
These Terms apply when you make an enquiry, register with CMHC, book an appointment, make payment or receive services from the Clinic. Where a person arranges services on behalf of a child or young person, they confirm that they have the necessary authority to do so and accept these Terms on behalf of themselves and, where applicable, the child or young person.

In the event of any inconsistency, these Terms shall prevail unless otherwise stated.
2. About Our Service
2.1 Scope of Our Service
Child Mental Health Clinic (“CMHC”) is an independent Consultant-led outpatient Child and Adolescent Mental Health Service providing assessment, treatment and follow-up care for children and young people (6-18 years of age) with emotional, behavioural and neurodevelopmental difficulties.
Our services may include psychiatric assessments, ADHD assessments, Autism Spectrum Disorder assessments, combined neurodevelopmental assessments, medication management, review appointments, and the preparation of professional reports and recommendations. Where clinically appropriate, we may also liaise with General Practitioners, schools and other professionals involved in the child’s care.
2.2 Nature of the Service
CMHC provides planned outpatient consultations by appointment only. CMHC is not an emergency or crisis service.
If a child or young person is believed to be in crisis or at significant risk of harm, families should immediately contact 999, NHS 111, their General Practitioner, the appropriate CAMHS Crisis Team, or attend the nearest Emergency Department.
3. Professional Standards and Clinical Practice
3.1 Regulation and Governance
CMHC is registered with the Care Quality Commission (CQC) and is committed to providing services in accordance with applicable legislation, professional standards and regulatory requirements. Our policies and procedures are reviewed periodically to reflect changes in clinical guidance and operational practice.
3.2 Professional Registration of Clinicians
Clinical services are provided by appropriately qualified healthcare professionals who are accountable to their respective professional regulatory bodies and are required to practise in accordance with their professional, ethical and legal obligations.
3.3 Independent Clinical Judgement
All diagnoses, recommendations, prescriptions, reports, letters, certificates and other clinical documents issued by CMHC represent the independent professional judgement of the responsible clinician, exercised in accordance with their professional, ethical and legal obligations.
Clinical opinions are based upon the information available at the time of assessment/appointment, together with the clinician’s expertise and interpretation of that information. Where additional relevant information subsequently becomes available, the responsible clinician may revise or qualify their opinion where clinically appropriate.
Accordingly, CMHC provides no guarantee or warranty that such documents will contain the content, wording, opinion or recommendations that a patient, family or third party may desire, hope for, expect, have been advised or informed they would contain, understand or believe they will contain.
4. Privacy, Confidentiality and Safeguarding
4.1 Privacy and Data Protection
CMHC is committed to protecting personal information and handling it responsibly, lawfully and confidentially.
Personal information is collected and processed only for purposes connected with the provision of healthcare, administration of services, compliance with legal obligations and the legitimate operation of the Clinic.
Our handling of personal data is governed by applicable UK data protection legislation and our Privacy Notice.
4.2 Confidentiality
CMHC recognises the importance of maintaining the confidentiality of information shared during the course of assessment and treatment. Clinical information will be handled in accordance with applicable legal, regulatory and professional standards and used only for purposes connected with the provision of healthcare, administration of services and compliance with legal obligations.
Access to personal information is restricted to those who require it for these purposes.
CMHC is also committed to involving children and young people in decisions regarding their care in a manner appropriate to their age, maturity and understanding. However, the welfare of the child or young person is paramount. Therefore, where the responsible clinician believes that a child or another person may be at risk of significant harm, information may be shared with relevant professionals or statutory agencies without consent where this is considered necessary or required by law.
5. Accessing Our Services
5.1 Referrals and Clinical Triage
CMHC accepts self-referrals as well as referrals from General Practitioners, healthcare professionals, schools and other appropriate agencies.
This can be done by completing the online enquiry form, contacting the Clinic by telephone or emailing admin@cmhclinic.co.uk.
All enquiries undergo an initial clinical triage based on the information provided to determine whether CMHC is an appropriate service and to recommend the most suitable appointment type or assessment pathway.
CMHC reserves the right to recommend an alternative service or decline a referral where the child’s needs cannot be safely or appropriately met within our outpatient service.
5.2 Responsibilities of Parents and Carers
Parents and carers are responsible for providing accurate, complete and up-to-date information relevant to the child’s assessment and treatment, including previous reports, medical history, current medication and any safeguarding or risk concerns. They should promptly inform CMHC of any significant change in the child’s health, circumstances or treatment that may affect clinical care.
CMHC is entitled to rely on the information provided and cannot accept responsibility for conclusions or recommendations that are materially affected by inaccurate, incomplete or withheld information.
5.3 Parental Responsibility
The person arranging an appointment confirms that they have parental responsibility or are otherwise legally authorised to act on behalf of the child or young person. Where parental responsibility is shared, CMHC expects that appropriate consent has been obtained unless there is a safeguarding concern, court order or other legal reason preventing this. The Clinic may request evidence of parental responsibility where necessary.
CMHC will not ordinarily become involved in disputes between parents regarding decision-making responsibility and reserves the right to postpone or suspend involvement until such issues have been clarified.
5.4 Emergency and Crisis Situations
CMHC is a planned outpatient service and does not provide emergency or crisis intervention.
If a child or young person is believed to be in crisis or at significant risk of harm, families should immediately contact 999, NHS 111, their General Practitioner, the appropriate CAMHS Crisis Team, or attend the nearest Emergency Department.
6. Appointments and Fees
6.1 Booking Appointments
Following clinical triage, CMHC will recommend the most appropriate appointment type, duration and format based on the information available at the time.
Appointment availability is subject to clinician availability and operational requirements, and the Clinic cannot guarantee the availability of a particular clinician or appointment date.
An appointment shall be deemed to be confirmed only when it has been formally offered by CMHC and the applicable fee has been received. Following confirmation, the Clinic will issue an appointment letter setting out the appointment details and any relevant instructions.
Failure to make payment within the requested timeframe may result in the appointment being released and offered to another family.
6.2 Appointment Format
Appointments may be conducted in person or remotely by secure video platform or telephone, where clinically appropriate.
6.2.1 Online Consultations
Where consultations are conducted remotely, families are responsible for ensuring:
• the child or young person is in a private and appropriate environment;
• adequate internet connectivity and functioning equipment are available;
• confidentiality can reasonably be maintained; and
• an appropriate adult is present where clinically necessary.
The clinician may postpone or discontinue an online consultation if identity, confidentiality or patient safety cannot be adequately assured.
Technical difficulties beyond either party’s control may require the consultation to continue by telephone or to be rearranged.
Where an online consultation cannot proceed or be completed due to a technical issue on CMHC’s side, a further appointment will be offered at no additional charge. Where the difficulty arises from the family’s equipment, internet connection or environment, a further appointment may be required and charged at the applicable fee.
6.3 Fees and Payment
CMHC is an independent private healthcare provider. All consultations, clinical appointments, assessments, reports and related professional services are chargeable.
Information about our fees is available on our website at www.cmhclinic.co.uk. Following review of your enquiry, we will also provide details of the recommended appointment or assessment pathway, together with the estimated fees.
Payment is required before an appointment is confirmed or any agreed professional work is undertaken.
Additional professional work requested outside the agreed scope, such as review of extensive documentation (including emails), issuing supplementary reports, letters, forms, liaison work with other professionals may incur additional charges. Where practicable, families will be informed of such charges in advance.

6.4 Cancellation and Non-Attendance
Appointments represent dedicated professional time reserved exclusively for the patient and cannot usually be offered to another family at short notice. If you are unable to attend, you should notify the Clinic as soon as possible.
As a general rule, a minimum of 7 working days’ notice is required to cancel or rearrange an appointment without charge. Cancellations made with less than 7 working days’ notice, or failure to attend an appointment, will result in the full appointment fee being payable, except where the Clinic agrees otherwise at its discretion.
For certain assessments, CMHC is required to collate and review pre-assessment information before the clinical appointment. Once an appointment or assessment has been confirmed and preparatory work has begun, eg: issuing questionnaires, reviewing information, allocating clinician time or undertaking administrative work the standard 7 working days cancellation policy may not apply.
If the family subsequently decides not to proceed, CMHC reserves the right to retain all or part of the fee. Any refund or credit will be considered solely at CMHC’s discretion,
Repeated cancellations, persistent non-attendance or failure to engage with the clinician’s recommended reviews or treatment plan may result in discharge from the service.
6.5 Late Attendance
Families are expected to attend punctually and should notify CMHC as soon as possible if they anticipate being late.
Where a patient arrives late, the consultation may need to finish at the scheduled time to avoid disruption to subsequent appointments. The responsible clinician will determine whether the remaining time is sufficient or whether a further appointment is required.
Repeated late attendance may affect future appointment availability and may require additional appointments at the applicable fee.
7. Clinical Assessments
7.1 Assessment Process
The type, duration and format of an assessment will depend on the nature and complexity of the concerns presented.
Families are requested to provide copies of any relevant reports, correspondence or investigations that may assist the assessment process. The clinician will determine the relevance and weight to be given to such information. Where extensive documentation is submitted shortly before an appointment or after the assessment has commenced, additional clinical time may be required to review the material and may attract an additional fee.
Some assessments require more than one consultation and may include review of questionnaires, school information, previous reports and, where appropriate, discussion with other professionals before a clinical opinion can be reached.
The responsible clinician will determine whether sufficient information has been obtained to complete the assessment or whether further appointments or investigations are required.
7.2 Clinical Outcomes
The purpose of an assessment is to establish an informed clinical understanding of the child’s presentation and, where appropriate, provide a diagnosis, formulation and recommendations for management or treatment.
A previous diagnosis or recommendation does not oblige CMHC to adopt or endorse that opinion, nor does it create any entitlement to a particular diagnosis or treatment.
7.3 Recommendations
Recommendations may include further assessment, psychological or behavioural interventions, educational support, medication, referral to another service or no further intervention where appropriate. The implementation of any recommendation remains the responsibility of the relevant individual or organisation.
8. Reports, Letters and Clinical Documents
8.1 Clinical Reports and Recommendations
Reports, letters, recommendations, certificates and prescriptions issued by CMHC represent the independent professional opinion of the responsible clinician and are intended to support clinical care and assist understanding by families and relevant professionals.
CMHC may prepare reports or correspondence for schools, colleges, examination boards, local authorities, insurers or other organisations where clinically appropriate. However, the Clinic cannot guarantee that such organisations will accept or implement its recommendations.
8.2 Professional Opinion
Reports and other clinical documents are prepared using the responsible clinician’s independent professional judgement and should be understood in the context of the assessment/appointment, information available and clinical reasoning at the time.
CMHC cannot guarantee that any third party will accept, rely on or implement the opinions, conclusions or recommendations contained within a report or clinical document.
8.3 Amendments to Reports
Families are encouraged to review reports promptly and notify CMHC of any factual inaccuracies. The responsible clinician will consider requests to correct factual errors where appropriate.
However, amendments to professional opinion, diagnosis, formulation or recommendations remain entirely at the clinician’s discretion.
8.4 Use of Clinical Documents
Reports, letters, prescriptions and other clinical documents issued by CMHC are prepared for the individual patient’s care and must not be altered, edited, selectively reproduced or otherwise presented in a manner that changes or misrepresents their content or meaning.
The implementation of any recommendation contained within a CMHC document remains the responsibility of the relevant individual or organisation. CMHC cannot guarantee that recommendations will be accepted or acted upon by General Practitioners, schools or any other third party.
9. Medication and Prescribing
9.1 Prescribing
The decision to recommend or prescribe medication is a matter of the independent professional judgement of the responsible clinician and will only be made where it is considered clinically appropriate, safe and in the best interests of the child or young person.
An assessment or diagnosis does not automatically result in medication being recommended or prescribed. Equally, a diagnosis or treatment recommendation made by another professional does not create an entitlement to receive medication through CMHC.
The responsible clinician may recommend psychological, behavioural, educational or other interventions either instead of or in addition to medication, and may decide that further assessment or medical investigation is required before treatment is initiated.
9.2 Safe Prescribing and Monitoring
Safe prescribing depends upon adequate clinical information and appropriate monitoring. Where necessary, CMHC may request relevant medical history, physical observations, investigation results or information from the child’s General Practitioner or other healthcare professionals before medication is prescribed or continued.
Parents and carers are responsible for informing CMHC of any significant side effects, deterioration in mental or physical health, newly diagnosed medical conditions, changes in medication or any other matter that may affect treatment.
Medication reviews should be attended regularly as determined by the responsible clinician. Failure to attend recommended reviews or provide requested information may result in medication being delayed, modified or discontinued and the patient being discharged from the service.
Nothing in these Terms obliges CMHC to continue prescribing where appropriate monitoring cannot reasonably be undertaken.
9.3 Shared Care
CMHC supports collaborative working with General Practitioners and other healthcare professionals where this is in the best interests of the child or young person. However, General Practitioners remain independently responsible for their own prescribing decisions and are under no obligation to enter into a Shared Care Agreement or prescribe medication recommended by a private clinician.
Accordingly, CMHC cannot guarantee that a GP or NHS organisation will accept responsibility for prescribing or monitoring medication initiated privately.
9.4 Shared Care and Prescription Policy
CMHC supports collaborative working with General Practitioners and has a well-established Shared Care Arrangement.
Once medication has been stabilised and the responsible clinician considers it clinically appropriate, a Shared Care Agreement (SCA) may be initiated, enabling the patient’s GP to assume responsibility for issuing ongoing repeat prescriptions (free under the NHS). This can significantly reduce the family’s ongoing treatment costs.
However, General Practitioners remain independently responsible for their own prescribing decisions and are under no obligation to enter into a Shared Care Agreement or prescribe medication recommended by a private clinician. Families are therefore advised to check with their GP before commencing a medication trial whether they would be willing to enter into a Shared Care Agreement. A copy of the CMHC Shared Care Policy can be provided on request.
Preparation of a Shared Care Agreement, including any subsequent updates requested by the GP, is chargeable in accordance with the Clinic’s current fee schedule.
9.5 Prescription Policy
Many ADHD medications are Controlled Drugs and are subject to specific legal and prescribing requirements.
Prescriptions issued as part of a consultation are free; however, any prescription requests made outside a scheduled appointment are chargeable.
Prescriptions are ordinarily collected from the Clinic. Where collection is not reasonably practicable, CMHC may, at its discretion, arrange for a prescription to be posted to a nominated UK pharmacy or address. Once dispatched, delivery is the responsibility of the postal service or courier, and CMHC cannot guarantee delivery times or accept responsibility for delays or losses beyond its control.
Replacement prescriptions requested due to loss, damage or expiry may incur an additional fee and will be issued only where considered clinically appropriate by the responsible clinician.
10. Communication
10.1 Communication with Families
CMHC will communicate with families by telephone, email or other appropriate means regarding appointments and other aspects of clinical care. Families should ensure that their contact details remain accurate and up to date and should notify the Clinic promptly of any changes.
While CMHC takes appropriate measures to protect information, no electronic method of communication or storage can be guaranteed to be entirely free from risk. To protect the confidentiality of sensitive clinical information, CMHC ordinarily uses Egress, an encrypted and secure email system. We appreciate that some families may find accessing Egress less convenient; however, we strongly recommend its use to safeguard personal information.
If a family chooses not to use Egress, this request must be made in writing. By doing so, they acknowledge and accept that electronic communication carries inherent risks, including delay, technical failure, interception or accidental disclosure, and CMHC cannot guarantee the security of information transmitted by unencrypted email.
As emails, voicemail and online enquiry forms are not continuously monitored, these must not be relied upon for urgent clinical advice or emergencies.
10.2 Communication with Other Professionals
Where clinically appropriate and with consent or another lawful basis for disclosure, CMHC may communicate with General Practitioners, schools and other professionals involved in the child’s care to support safe and effective treatment.
10.3 Delivery of Reports and Documents
Reports and other clinical documents will ordinarily be issued via Egress, our secure encrypted email system, and will be available for download for 90 days from the date of issue. Families are responsible for downloading and retaining copies of these documents within this period.
Unless the Clinic is notified otherwise, CMHC will assume that the documents have been successfully received and accessed. Requests to resend reports or other documents after the original issue may incur an administrative charge.
11. Complaints and Feedback
CMHC is committed to providing high-quality care and welcomes feedback from patients and families, including compliments, comments and suggestions.
If you are dissatisfied with any aspect of our service, we encourage you to raise your concerns with the Clinic as soon as reasonably practicable so that they may be reviewed and, where possible, resolved promptly and informally.
Where a matter cannot be resolved informally, it may be investigated in accordance with the CMHC Complaints Policy. Complaints will be considered fairly, objectively and in confidence.
The existence of a complaint does not oblige the responsible clinician to alter an independent clinical opinion or amend a report unless a factual inaccuracy or other clinically justified reason has been identified.
12. Appropriate Use of CMHC Services
12.1 Respectful Behaviour
CMHC is committed to providing a professional, respectful and safe environment for patients, families and staff. We recognise that families may be experiencing significant stress; however, abusive, threatening, discriminatory, intimidating or aggressive behaviour towards clinicians or staff will not be tolerated.
Where such behaviour occurs, CMHC reserves the right, at our discretion, to terminate a consultation, refuse further appointments or discharge the patient from the service where this is considered reasonable and proportionate. Where necessary, CMHC may also take further action, including seeking legal advice, contacting safeguarding agencies or reporting the matter to the police.
12.2 Website, Reviews and Public Communication
Families must not use CMHC’s website, online forms, email systems, communication channels, social media pages, review platforms or other public channels in any way that is unlawful, fraudulent, abusive, threatening, defamatory, misleading, confidential or harmful. This includes submitting false or malicious information, sending spam or unsolicited promotional material, transmitting viruses, malware or other harmful code, or publishing content about CMHC, its clinicians, staff, patients or services that breaches these standards.
This does not prevent honest feedback, fair comment or complaints made in good faith. However, where behaviour, communication or public comments breach these standards or may cause unjustified damage to the Clinic, CMHC reserves the right, at our discretion, to request removal of content, limit communication, seek legal advice or take other appropriate action where this is considered reasonable and proportionate.
12.3 Recording Consultations
To protect the confidentiality and integrity of the clinical consultation, appointments should not be audio or video recorded without the prior agreement of the responsible clinician.
12.4 Use of Clinical Documents
Reports, letters, prescriptions and other clinical documents issued by CMHC are prepared for the individual patient’s care and should be read in their entirety. They must not be altered, edited, selectively reproduced or otherwise presented in a manner that changes or misrepresents their content or meaning.
The use of artificial intelligence or other technologies to modify or generate alternative versions of CMHC documents must not result in such documents being represented as authentic CMHC records or professional opinions.
12.5 Suspension or Termination of Services
CMHC reserves the right to suspend or terminate its involvement where continued care cannot be safely or appropriately provided. This may include, but is not limited to, persistent non-attendance, failure to engage with recommended reviews or treatment, non-payment of agreed fees, or abusive or inappropriate behaviour towards Clinic staff.
Where reasonably practicable, families will be advised of the reasons for the decision and, where appropriate, directed to alternative sources of care.
13. General Terms
13.1 Limitations of Our Service
CMHC will use reasonable endeavours to provide timely access to its services; however, we cannot guarantee the availability of any particular clinician, appointment or service at any given time.
Services may be modified, suspended or withdrawn in response to clinical, operational or regulatory requirements. Where reasonably practicable, families will be informed of any significant changes affecting their appointment or care, and any applicable cancellation, rescheduling or refund arrangements will be managed in accordance with these Terms.
13.2 Limitation of Liability
CMHC undertakes to exercise reasonable skill, care and professional judgement in the provision of its services. However, we cannot guarantee any particular clinical, educational, occupational, legal, insurance or administrative outcome.
CMHC shall not be responsible for decisions made independently by third parties, including General Practitioners, NHS services, CAMHS, schools, examination boards, local authorities, insurers or courts, even where such decisions relate to information, reports or recommendations provided by the Clinic.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of statutory rights, or any other liability that cannot lawfully be excluded or limited.
13.3 Service Disruption
CMHC will use reasonable endeavours to maintain continuity of its clinical and administrative services. However, CMHC shall not be liable for any delay, disruption or failure to provide services arising from circumstances beyond its reasonable control. This may include, but is not limited to, clinician illness or emergency, staff absence, technical failure, system outages, cyber incidents, telecommunications issues, industrial action, severe weather, travel disruption, postal disruption, utility failure, premises issues, public health restrictions, regulatory requirements or other unforeseen events.
Where such circumstances affect an appointment or service, CMHC will take reasonable steps to contact families and rearrange care where appropriate.
Where a service cannot reasonably be rearranged or provided, any refund or credit will be considered in accordance with the nature of the service, work already undertaken and these Terms.
13.4 Notices and Disclaimers
13.4.1 Medical Disclaimer
Clinical services provided through CMHC are delivered by appropriately qualified healthcare professionals who exercise their own independent professional judgement in accordance with their regulatory, ethical and legal obligations. Clinical opinions, diagnoses, recommendations and treatment decisions are those of the responsible clinician based on the information available at the time of assessment.
CMHC does not guarantee that any assessment, consultation, report or treatment will result in a particular diagnosis, prescription, recommendation or outcome, nor that such opinions will be accepted or implemented by third parties.
Information provided on the CMHC website or in any written material is intended for general educational purposes only and does not constitute personalised medical advice. Families should always seek advice from an appropriately qualified healthcare professional regarding any medical concern and before starting, stopping or changing any treatment or medication.
13.4.2 Website and Content Disclaimer
Except for advice provided during an individual clinical consultation, information contained on the CMHC website, publications or other materials should not be relied upon as specific medical advice for any individual child or young person. Such information is provided for general information only and should not replace an assessment by a suitably qualified clinician.
13.4.3 Third-Party Information
CMHC may refer to or communicate with third parties, including General Practitioners, schools, NHS services or other organisations, where clinically appropriate. CMHC does not endorse, guarantee or accept responsibility for the accuracy, availability or content of third-party websites, services, publications or communications, nor for decisions made independently by such organisations.
13.4.4 Technology and Electronic Communications
While CMHC takes reasonable steps to protect its electronic systems and communications, no electronic transmission or storage system can be guaranteed to be entirely secure or free from viruses, malware or technical defects. Families are responsible for maintaining appropriate security measures, including suitable antivirus software and secure information technology systems when accessing CMHC services or opening electronic communications and attachments.
13.4.5 Intellectual Property
All copyright and intellectual property rights in the CMHC website, reports, clinical documents, publications, branding, logos and other materials belong to CMHC or its licensors unless otherwise stated.
These materials are provided solely for the personal use of the patient and their family in connection with the receipt of CMHC services. They may be shared with healthcare professionals, schools or other relevant organisations for the child’s care where appropriate, but must not be copied, altered, commercially exploited, published or distributed without the prior written consent of CMHC, except as permitted by law.
13.4.6 No Third-Party Rights
These Terms and Conditions create rights and obligations only between CMHC and the person accepting them on behalf of the child or young person. No third party shall have any right to enforce any provision of these Terms under the Contracts (Rights of Third Parties) Act 1999.
13.4.7 Transfer of Rights
CMHC may transfer its rights and obligations under these Terms to another organisation where necessary for the continued provision of services, provided that this does not materially affect the patient’s rights. Services are personal in nature and may not be transferred by the patient or family without CMHC’s agreement.
13.5 Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
13.6 Severability
If any provision of these Terms is found to be unlawful, invalid or unenforceable, the remaining provisions shall continue in full force and effect.
13.7 Waiver
Any delay or failure by CMHC to enforce any provision of these Terms shall not constitute a waiver of its rights and shall not prevent those rights from being exercised at a later date.
14. Acceptance of Terms
By submitting an enquiry, booking an appointment, making payment or receiving services from CMHC, you acknowledge that you have had the opportunity to read and understand these Terms and Conditions, and agree to comply with both their wording and purpose.
